Before creating your class ...
It's important to perform the technical test before launching any cohorts with Gamelearn. Click on this article to learn about the test and why it is important. Keep in mind that if previously you have not gone through the technical test, our emails may end up in your Spam or Quarantine folder and cause the students to have issues while taking the courses.
How to create your class
- Click on "Classes" which is on the menu on the left side of the screen and then on the blue button "Create Class".
- The system will guide you through 3 simple steps:
- Fill out all of the obligatory fields in the ‘General Information’ tab, you can click on the tool tips in case you require additional information.
- The name of the class should be intuitive and short, for example your company name + the game + the group (1,2,3 ...) + the year and the month the group starts playing. For example: Gamelearn Pacific G1 2020 February.
- Select the start and end date of the class (cohort/class). The minimum duration is of 2 weeks. The 'Maximum playing time per student (in weeks)' dropdown will automatically be calculated taking in consideration from the moment the user connects for the first time (game duration)*
- Once all the fields have been filled in, click on "Save and continue”.
2. In the ‘Configure Notifications’ tab, you will be able to view all of the emails that have been sent to the students once the class has been started. While creating the class simply click on “Next”.
3. At last, in the 'Enrollment' tab you will see four possible options to register the students:
- Invite students : this option automatically enables the Self-registration. Consult this section for more information.
- Select pre-existing students : select from list of students previously registered on the platform
- Insert students from a file : this is the best option if you already have a list of participants as it is as simple as copying and pasting it directly into a table.
- Add student : you can enroll your employees one by one.
Once you finish this last step, click on “Save and finish”.
Once you have created your class:
You will see new tabs to visualize the data and edit other functions.
1. In the ‘Emails’ tab you can view the emails that have been sent out to the students.
2. In the ‘Enrollment’ tab you will be able to see the participants registered and check their progress in the ’Status’ column.
3. The ‘Progress’ tab offers you more information about the progress of your students, ratios and connection details.
4. Finally, you will find the ‘Surveys’ tab where you can check out all of the feedback left by your students and other statistics of the class.
In the ‘Configuration’ tab you can setup the following:
- Ranking : select the ranking visualization option you prefer. If you want more information, click here.
- Time Restriction : you can establish the period in which the user will NOT be allowed to play. We do not recommend setting time restrictions as students tend to have a better experience with our games when they can access them whenever they want.
- Documentation : via URL, you can associate the documents that you want to put available for your students after completing the training course.
*Cohort vs Game duration
What is the difference?
The cohort is the period of time students have to start and complete the course. During this period, each student will have their own game duration depending on their first activation and this can be established while you are creating the class.
Example: A cohort has been set from January 1st to September 1st. If you set an 8-week maximum game duration, each student will have 8 weeks to play between January 1st and September 1st since they activate their account for the first time. If a student starts the game on January 1st, they will have until March 1st. If a student starts the game on March 1st, they will have until May 1st. But if a student starts the game on August 1st, they will only have one month until September 1st, because the cohort ends.
Our recommendation is that each student should be given a maximum of 8 weeks to complete the course. Therefore, we suggest that the students are given less time (for example 4 weeks) so that they may offer extensions to those who need it up to a maximum of 8 weeks. From experience we have seen that the engagement and overall learning declines if a training lasts more than two months.
What does the "Self-registration" option mean? How does it work?
Gamelearn offers you the possibility to automate the registration of your students. During the creation of one of your classes, you can check the "Self-registration" box.
When you activate this option, a link associated with your new class is automatically generated. That link you can share with your employees. All those who receive this link can self-register in the class you have created (for the game requested and on the dates defined).
Once you sign up through the link, your employees will receive an email to confirm their enrollment in the assigned course.
You must define the valid domains to self-register, so that only your employees with corporate mail can enroll in your class (nobody can do it if you do not authorize their mail extension, to avoid unwanted registrations).
The Self-registration option also allows you to establish a limit of students per class (optional) and activate a warning when you reach a specific number of enrolled students (optional).
